Shared team inbox: AI summaries for contact@, support@ and billing@
A shared inbox without a tool means emails read twice and answered zero times. InboxBriefs summarizes it daily and turns every request into a task assigned to someone.
A shared mailbox isn't only contact@ or support@: it's any address several people need to keep an eye on - a role address (contact@, support@, billing@, hello@), the company's main inbox, or even a plain ordinary mailbox the whole team must see. These are often the most important and worst-managed inboxes: everyone assumes a colleague saw the message, urgent requests sleep under newsletters, and the customer follows up. With an InboxBriefs team space, your team connects that shared mailbox (Gmail, Google Workspace, Outlook / Microsoft 365, Yahoo or a private IMAP server), gets a prioritized daily summary, and works from a shared agenda where every email that needs action becomes a task you can assign to a member - who gets notified.
What happens in a shared inbox without a tool
- Nobody knows who read what: customer requests sit unanswered while everyone assumes someone else is on it
- Urgent items (unpaid invoice, unhappy customer, deadline) drown between notifications and newsletters
- No record of who was supposed to do what: actions agreed out loud simply evaporate
- The only “tool” is forwarding emails internally, which multiplies copies and confusion
How the InboxBriefs team space works
One daily summary per shared mailbox
The admin connects read-only any mailbox the team needs to follow - a role address (contact@, support@, billing@…) or simply the company's main inbox. Each mailbox gets its own prioritized daily summary - urgent, important, FYI - visible to the whole team in the shared space, at the hour and timezone chosen for the space.
Requests that become assigned tasks
Emails that call for action automatically feed the team agenda. Any member can assign a task to a colleague, who receives an email notification: “who's handling this?” finally has a written answer.
An assistant that knows the team's mailboxes
Every member can ask the space's assistant (“what's urgent on support today?”) - it answers strictly from this space's shared mailboxes, never from anyone's personal email, and never from another space.
Roles and invitations under control
The admin invites members by email - an invitation can only be accepted by the exact address it was sent to. Fine-grained permissions (invite, remove, manage mailboxes) can be delegated and revoked at any time. Each member's personal email stays strictly private.
Rules to copy (and adapt)
- Mark as urgent any customer email that mentions a problem, an error or a refund.
- Surface supplier invoices and payment reminders received on billing@.
- Prioritize quote requests and new leads arriving on contact@.
Frequently asked questions
Can the team see members' personal emails?+
Never. A team space only sees the shared mailboxes connected to it. Each member's personal inboxes, summaries and personal agenda remain strictly private - it's a structural separation, not a setting.
Which shared mailboxes can we connect?+
The same providers as the personal product: Gmail / Google Workspace, Outlook / Microsoft 365, Yahoo Mail, and any company mailbox on a private server over IMAP. Every connection is read-only and belongs to the space - revoking a personal connection never breaks the team's.
Do we pay per seat?+
No. The Team & Enterprise subscription is per space, not per seat: one space covers up to 25 members and 10 shared mailboxes. Joining a space through an invitation costs the invited member nothing.
How does task assignment work?+
Each summary turns action-requiring emails into tasks on the team agenda. Any member can assign them (or self-assign); the assignee receives an email notification with the task title and the space it belongs to.
A well-run shared inbox means customers who stop waiting and a team that knows who does what. Create your space, connect contact@ and watch the first summary arrive.
