Triggers, conditions and AI steps

What can start an automation, what it can check, what it can do, and how the AI works inside it.

What starts it

  • New email: an email arrives in a Gmail, Outlook or IMAP mailbox.
  • Message in the chat: the assistant reads a channel's conversation.
  • Task: created, completed, assigned, commented, deleted, or a due date coming up.
  • New member: someone joins the space (their invitation is accepted).
  • Date and time: every day, week or month, at the time you choose.
  • Project: created, a task enters it, someone joins it…
  • AI summary ready: the assistant has just summarised the emails.
  • Document: created or edited.

In your personal space: New email, Date and time, AI summary ready, and Task for what the planner brings (a due date or a start coming up, a meeting arriving). The chat, members, projects and shared documents belong to team spaces.

What it checks

Under Only continue if, each criterion compares a field with a value: Email subject, Sender, Email content, Attachment for an email; Task title, Priority, Project, Owner, Status for a task. All criteria needs everything to be true, At least one only one. Whatever doesn't pass goes to Otherwise.

What it does

  • On an email: Create a task, Prioritize, Set aside (out of the summary), Notify.
  • On a chat message: the assistant suggests a task (nothing is created without a click), Notify.
  • On a task or a project: Update the status, the assignees, the priority or the due date, Rename the task, Move to a project, Remove from the project, Create a subtask, Duplicate the task, Comment on the task.
  • Everywhere else: Create a task, Post a message (in the chat, on behalf of the assistant), Send a direct message, Create a project, Create a document, Add to a document, Notify.

Notify sends a notification in the app (the bell at the top of the screen) and/or an email to the space's members (or to you in your personal space); each person chooses how they get them in Preferences › Notifications. No automation writes or sends an email to your clients.

AI steps

  • Search the web: the AI searches and sums up.
  • Search the documents: the AI reads the space's documents.
  • Summarise with AI: summarise, extract, rephrase.

Their answer is called [result]: the next steps pick it up, for example Comment on the task with [result]. Each AI step costs one credit when it runs; without a credit, it's marked as failed and the other steps carry on. See AI credits.

Words in brackets

In a title or a message, words in brackets pick up what started the automation: [task], [project], [name], [document], [summary], [result]. “Review [task]” becomes “Review Prepare the client demo”.
